Eligibility
Refunds are available only against fees actually received by Api Maphub for a named programme (Studio Seat, shorter room, Reading Circle year, or Private Map). Informational prices on this website are not invoices. Consumer rights under United Kingdom law remain in place where you enrol as a consumer; if your employer pays, their agreement with us may set different commercial terms, stated on the confirmation.
Timeframe
If you are a consumer, you may cancel a distance contract for a course that has not begun within 14 days of our written confirmation, unless you asked us to start within that period and acknowledged that the cooling-off right would reduce as teaching is supplied.
After the cooling-off window, a Studio Seat may be withdrawn for a partial refund if you write to us before the third live week begins. Shorter rooms (ten days or a fortnight) may be withdrawn for a partial refund only before the second live session. Reading Circle years may be cancelled within 14 days of payment if no salon has been attended; after the first salon, the year is not prorated except as a goodwill gesture we are not obliged to offer.
Full and partial refunds
A full refund of the programme fee (not travel) applies when we cancel a season, when we refuse a seat after payment because the room is a poor fit and we say so, or when a consumer cooling-off cancellation arrives in time and teaching has not begun.
A partial refund after a Studio Seat has started is typically the fee minus one-third, reflecting tutor preparation and the first fortnight of critique. After week 2 we do not unwind the season as if it were unopened goods: letters already written are work performed. Private Map residencies, once the first working session has occurred, are refunded only for unused later weeks at a reasonable estimate of remaining tutor days, never as a full reversal.
Non-refundable items
Travel, lodging, and your own software licences are never refunded by us. Printed materials already posted are not collected or credited. Guest-seminar recordings, once released to the room, are not a separate product we buy back. Bank charges levied by your provider on an original payment are not always recoverable; we refund what arrived to us.
Process
Write to info@api-maphub.digital with “Refund” in the subject, your name, the programme, and the confirmation date. You may also telephone 078 8955 5762 or write to 81 London Road; Collynie; AB41 2YZ; United Kingdom. We will acknowledge within two working days and say whether we need a copy of the confirmation.
Processing time and method
Approved refunds are sent by the same method as the original payment where practical, usually within 14 working days after we agree the amount. International returns may take longer in the banking system. We do not refund in store credit or in “future season tokens” unless you ask for that in writing.
Cancellation by us
If a tutor cannot run a season and we cannot restaff it fairly, we cancel and refund in full, or we offer a later season. We will not keep a fee for a room that did not happen.
Exceptions
We may refuse a refund where materials were copied in breach of the Terms, where the request is made after the programme has concluded, or where the payer and the student dispute ownership of the seat — in that case we pause until the payer instructs us. Illness and bereavement are considered with evidence; we prefer deferral to a later season over a fight about fractions, but deferral is not a legal substitute for a cooling-off refund you are already owed.
